ADMINSTRATIVE ASSISTANT / RECEPTIONIST

Individual will be responsible for projecting a professional, polished image to the public and various stakeholders while performing receptionist functions and administrative duties.  Responsibilities include answering and directing incoming calls, recording and delivering messages, and welcoming on-site visitors.  Individual will also provide a wide variety of administrative support services to the management team; manage special projects and related administrative duties as they arise. 

Applicants should be highly organized, able to manage multiple projects, and have excellent verbal and written communication skills.  Successful candidates will possess excellent customer service skills, strong attention to detail, and above average computer skills.  Individual must be able to work under minimal supervision and to meet time-sensitive deadlines.  Competitive salary and benefits; conveniently located near McPherson Square Metro Stop.  High school degree required; Associates degree preferred. Prior non-profit experience preferred.

PHARMACY SITE VISITORIMMEDIATE OPPORTUNITY!
The Site Visitor plans, organizes, coordinates, and conducts community-based health care organization accreditation site visits in accordance with CHAP policies and procedures. Individuals will collaborate with co-team members to effect a positive outcome for the team and organization being accredited; demonstrate knowledge of CHAP Standards and State and/or Federal Regulations; collect, collate, interpret, and report data with accuracy and objectivity; ensure clarification, verification, quantification, and identification of site visit findings; employ effective interpersonal skills in contacts with accredited organizations; articulate findings in a clear, succinct, and professional manner; and provide professional consultation and education to organizations seeking accreditation.   

QUALIFICATIONS:
A minimum of five years experience in a community based, long term care, or home infusion  pharmacy,  and a Bachelor’s Degree (Master’s Degree and/or PharmD strongly preferred). Strong management background using quality standards and familiarity with CMS quality and supplier standards highly desirable.  Successful candidates will demonstrate effective written and verbal skills and critical thinking, the ability to work effectively as a part of the accreditation team, and a passion for continuous quality improvement. Individuals selected must successfully complete the CHAP Site Visitor Training Program. This is a per diem position which requires extensive travel and work availability of at least 2-4 days per month.

Applying for Employment at CHAP
Following are some helpful hints on how to apply for employment at the CHAP, along with information about the application and employment process at CHAP. Keeping these points in mind will help to ensure that your application materials receive optimum consideration for employment.

Carefully read the ads for open positions at the CHAP.

Each ad will describe the position duties and responsibilities, list minimum and preferred qualifications, and explain how to apply. Read the ad carefully to determine if you are interested in and qualified for the position, and then follow the directions thoroughly if you decide to apply.

Be specific about the open position for which you want to apply.

Clearly mark the title on your application materials, especially the letter of interest.  Since CHAP routinely posts numerous ads at once, sometimes several with the same job title, and a different hiring manager reviews applications for each open position, it is essential to specify which position you are interested in to ensure your entry into the correct applicant pool. For Site Visitor applications, include the area(s) [Home Health Services, Hospice, Pharmacy, Home Medical Equipment, Infusion Therapy, Public Health, Community Nursing, or Private Duty] of expertise which you wish to be considered.

Apply for every position for which you want to be considered. CHAP does not maintain an applicant interest file for unsolicited applications or keep applications on file for contact in the event a suitable position becomes available.

Make sure your application materials are complete as requested in the ad for the position.

Each ad will specify the application materials requested, often a letter of interest and resume.  In some cases, additional materials such as transcripts or letters of reference may be requested.  Be sure to submit all materials requested. Remember to include all attachments if e-mailing application materials. Applications that are incomplete at the time of hiring manager’s review generally are not considered for employment.

Submit your application to the email address specified in the ad for the position.

Unless specified otherwise in the ad, application materials are to be sent directly to Human Resources at CHAP.  Human Resources will forward your application materials to the hiring manager making the hiring decision. Misdirecting your application to a hiring manager, the hiring department, the President or CEO, or elsewhere will delay processing of your materials and could prevent you from being included in an applicant pool if your materials are not forwarded to the Office of Human Resources.

Do not expect an interview unless you are contacted by Human Resources.

Human Resources oversees the search process from start to finish, but forwards applications to the appropriate hiring manager to screen, conduct interviews, and recommend candidates for hire.
Note: Applicants who do not meet at least the minimum qualifications for a position are screened out of the applicant pool and not considered for employment in that position.

Make yourself readily available if contacted for interview.

After applications received have been screened, the Human Resources contacts candidates chosen for interview. Be sure to reply promptly in the event you are contacted to schedule an interview, since the hiring manager can move on to other qualified candidates if you fail to respond. Frequently, the Human Resources or the hiring manager will conduct telephone interviews before, or in lieu of, scheduling in-person interviews. Candidates who are interviewed receive more information about the position, CHAP, and the hiring process at the time of interview.

Realize that meeting the minimum qualifications does not guarantee you will be interviewed.

Do not assume you will be interviewed for a position at CHAP simply because you meet the minimum qualifications as listed in the ad. After applications are screened to determine who meets minimum qualifications, the hiring manager ranks applicants further according to the quality and amount of education, experience, knowledge, and skills that each one possesses. Due to the large number of applications CHAP receives, many from well-qualified candidates, not every qualified applicant can be interviewed.
